Why use a separate room password?
Room codes are designed to be shared and easy to enter. A password adds a second secret that can be sent through another channel, which is useful for client documents, project exports, classroom work, or support attachments.
How LendAFile stores passwords
LendAFile stores a one-way password hash rather than the readable password. When someone joins, the submitted value is verified against that hash before room contents are shown.
Safe sharing habits still matter
Use a strong unique password, send it separately from the room code, keep your own copy of important files, and choose the shortest practical room duration. Password protection does not replace encryption policies or regulated document systems.
Create a password people can enter reliably
Use a unique passphrase that is long enough to resist casual guessing but practical on the recipient’s device. Avoid names, dates, room titles, reused work passwords, and clues contained in the shared message. Check capitalization and punctuation before sending because the recipient must enter the exact value.
Separate the access details
When the material warrants it, send the room code in the project message and the password through another trusted channel. Separate delivery cannot prevent an authorized recipient from forwarding both secrets, but it reduces dependence on a single exposed message.
Know what a password does not protect
A room password controls entry to the active room. It does not remove malware, encrypt a file after download, prevent copying, or prove the identity behind a display name. Use approved encryption, identity, retention, and device controls when the risk assessment requires them.
Handle a forgotten password
Because the readable password is not stored, it cannot be recovered and emailed back. If recipients cannot obtain the correct value, the creator should make a new room with a new unique password and clearly retire the earlier instructions. Never reuse an unrelated personal or company password as a shortcut.
Close out access
Confirm receipt before expiry and move authoritative copies into the correct permanent system. Do not place passwords, room codes, filenames, or sensitive transfer details in analytics. If access is no longer needed, close the temporary share when possible rather than leaving it active solely because time remains.
